Using Outlook to create Timesheets and Labour Postings

Once you have started scheduling SYSPRO Jobs in Microsoft Outlook, the next logical step is to use the information recorded to create a Timesheet for your Engineers. We can extract the data from the Calendar and Export it into an Excel Spreadsheet, where it can be checked, amended and manipulated if required. The verified data can then be used for Payroll and also imported into SYSPRO and posted directly the relevant Jobs, saving you time and money!

SQL Triggers & SQL Database Mail

There are already a number of built-in SYSPRO Triggers and Events, but, frustratingly, the one you need is often unavailable. Utilising SQL Triggers is a powerful way of extending the functionality of standard SYSPRO. SQL Triggers fire on a table when a record is INSERTED, DELETED or UPDATED. This means that you can trigger an action at just about any point in a Business Process, and control the exact circumstances (using CASE and IF statements etc) under which the Trigger fires.

Adding SQL Database Mail to the mix, you can create custom alerts & notifications, and send them via Email to a mailing list or dynamic email addresses.

For example:

  • Notify a Sales Rep when a Quotation is confirmed
  • Notify Stores with a Pick List when Material is allocated to a Job
  • Notify Accounts when an On-Hold Customer has made a Payment
  • Email a Customer when their Goods have been Despatched

Microsoft Outlook Integration

SYSPRO can be integrated with Microsoft Outlook so that Appointments or Emails are created either automatically or at the touch of a button. The content of the Appointment or Email can be populated with data from SYSPRO (or any other database provided drivers are available). Using Microsoft Exchange and Smart Phones, staff can instantly see when a relevant Appointment or Email has been generated.

Quotation Chase Dates
Insert an Appointment in Outlook as a reminder to chase a Quote.

Sales Order Despatch Dates
Insert an Appointment in Outlook to create a Despatch schedule.

Purchase Order Delivery Dates
Insert an Appointment in Outlook to create a Booking In Schedule.

Engineer Schedule
Engineers can have scheduled Jobs delivered direct to their phone's calendar, including Customer's Address & Contact Details, Job Description & Component Allocations etc.

    Customising SYSPRO's User Interface

    Customising SYSPRO's User Interface is a simple, yet powerful way of enhancing SYSPRO's functionality.
    From simply displaying Custom Form Fields on a standard SYSPRO data entry or Query screen right through to creating a button in Inventory Query that automatically raises a Purchase Order for an item, by using VBScript and SYSPRO's customisation tools, you can effectively change the way SYSPRO works so that it fits better with your business processes.

    For example:

    Make a non-mandatory field mandatory
    Ensure an operator enters data into a standard or custom field, even though SYSPRO doesn't require it.

    Automatically change the case of a field
    If you only use upper case StockCodes, you can ensure the StockCode field in Sales Order Entry automatically converts an incorrect lower case StockCode into upper case.

    Calculate values of fields
    Automatically populate fields with a calculated value e.g. Add 10 days to Today’s date to create a Ship Date.

    Automatically capture additional data
    See not only who created a Job, but also the last person to update it, without the Operator having to do anything.

    Display Data from another screen
    Fetch data from another area of SYSPRO. e.g. Display the Supplier’s email address and telephone number in Inventory Query.
